Use this checklist when preparing an event cleaning enquiry. It helps organise the information a cleaning provider needs and the responsibilities you should agree. It does not replace the venue's safety procedures or event-management plan.
Event basics
Record the event name, venue address, organiser contact, dates, public opening hours and expected attendance. Identify who can approve the cleaning scope and who will coordinate access on site.
Spaces and surfaces
List halls, entrances, walkways, restrooms, concession areas and other shared spaces included in the enquiry. Note floor finishes and sensitive surfaces. Attach a marked venue plan when available; identify restricted or excluded areas.
Access and timing
Record build-up access, live-event access and the final handover deadline. Note deliveries, contractor activity and times when cleaning may need to pause. Ask the venue about restrictions before confirming a schedule.
Waste responsibilities
Clarify who supplies bins, who moves collected waste and who arranges removal or disposal. Describe any unusual waste stream so the provider can confirm whether it can be handled. Do not assume every part of waste management is included in a cleaning quote.
People and communication
Keep the organiser, venue and cleaning contact details together. Agree who receives updates and who can authorise changes. If attendance or the event footprint changes, communicate that before work begins.
Before accepting a proposal
Check the areas and tasks included, exclusions, dates, access, price and applicable terms. Ask how additional requirements will be handled. Confirm the arrangement directly; an online enquiry alone is not a booking.
At handover
Agree who will inspect the areas and how any outstanding items will be recorded. Keep venue requirements and agreed exclusions available for that conversation.
